What is Enterprise Resource Planning?

Enterprise Resource Planning ERP Software puts internal and external management information together and allows access to it throughout the network. This can be accounting information, manufacturing processes, customer service data, sales and other departments. It makes it easier to share information within the business or organization and to manage contacts with clients. An ERP system usually has a database to store such data and can run on many types of network configurations.

An ERP system usually is comprised of a system that runs in real time and doesn't rely on periodic updates; it has a database that supports applications, has a look consistent throughout every module and can be installed by nearly anyone with no special training.

ERP in Business

ERP is used nearly everywhere in business. Project managers use it to track time and expenses, activity, performance and billing. Human resource departments find it useful for 401K funds, recruiting, managing staff diversity, training and payroll. Even manufacturers use ERP to manage work orders, scheduling, quality control, engineering and other areas vital to the operation of their business.

Advantage of ERP software

One advantage of using ERP software is the "best practice" feature that is included in most packages. The software reflects the business's most effective way of operating; the user can modify the best practices feature if they wish. Businesses that take advantage of the best practices feature have saved time and money on jobs like documentation, training and testing. The feature can also significantly reduce the risk factors of most businesses.

ERP Modules

Most ERP software is comprised of several different modules that can automate some functions. Some modules may not be used; for instance, an insurance company would have no use for the manufacturing module. Some, like finance and accounting modules, are used throughout the company by most users and some, like the human resource module, is of use to only one department.

Benefits of using ERP Software to manage your business

A company just beginning to use ERP software will find that there is some change necessary in their normal processes. It is important to analyze such processes before making the decision to use ERP software, identifying which areas can benefit from process modernization. It is easier for centralized businesses to implement ERP software than those who have different processes, rules, authorization hierarchies and independent decision centers. One advantage to implementing ERP software is the opportunity to centralize business functions and thus make them more efficient.

With ERP software decisions can be arrived at faster and fewer errors in judgment are made. Data can be shared with the entire organization. There is no longer any need to synchronize different departments such as sales, human resource and finance. The software provides a comprehensive information pool available to everyone yet protects sensitive data with multiple security systems.

ERP Implementation

It isn't always easy to implement ERP software. Many businesses have a hodge-podge of different systems and procedures they use to do everyday jobs. Everything is separated—orders are handled by customer relations, the warehouse controls the inventory, human relations handles employees and the owner of the company has no central access to any of these databases.

However, once ERP software is installed and everyone is used to it, processes become much easier. Clients' ordering and the delivery of their product runs seamlessly through the sales department to inventory and the warehouse. It then makes its way to the finance department where an invoice is issued and then on to inventory control to insure that the product is replaced. Without ERP, this process could take up to a couple of days. With it, the entire sequence can happen in just under an hour.

ERP helps retain clients and increases their satisfaction with the company. For instance, if a customer did not receive an order and called the company they would be told to call the warehouse if the company did not have ERP software. The warehouse would route him or her to the delivery department who in turn may tell them to check with the billing office to see if the invoice cleared. This can be very frustrating and easily drive customers away. Integrating all departments with ERP software helps everything run more smoothly and in the above example, anyone could have helped the customer and resolved the situation quickly and to everyone's satisfaction.
